Camp Policies
Cancellation Policy

Camp Cosmos requires two weeks (14 days) notice for any cancellations to registrations. This allows us to give as many children as possible the opportunity to attend Camp Cosmos and prevents funding shortfalls. If you need to cancel one or more weeks, please call or email us as soon as possible.
For cancellations with less than 2 weeks notice or no shows, the full fees for the week(s) missed will not be refunded.
In the event of a family emergency, please contact us to discuss the situation.​

Late Policy
At Camp Cosmos we have strict drop-off times that must be adhered to in order to ensure we stay on schedule for weekly outings. Children must be dropped off between 8:30 AM and 9:00 AM.
Any child who arrives before 8:30 AM or past 9:00 AM without prior approval from camp staff will not be accepted.
When parents or guardians arrive late to pick up their children, it creates significant challenges for our staff. Children registered into the regular pick-up option must be picked up between 3:00 PM and 3:30 PM. Children registered into the extended pick-up option must be picked up between 3:00 PM and 5:30 PM.
Parents or guardians who arrive after their allotted pick-up time will receive one warning by email. Subsequent late arrivals will result in the following charges:

First 10 minutes: $10

Every additional minute: $0.50
Late fees must be paid before the start of the following week of camp.
Sickness Policy
DO NOT SEND YOUR CHILD TO CAMP IF THEY ARE ILL (with a fever, cough, exhaustion, sore throat, diarrhea, headache, body ache, or other signs of illness).
The parents or guardians of any child experiencing these symptoms will be called to pick up their child immediately.
Symptomatic children will be given a mask and separated from the group until they are picked up by a parent or guardian, and will not be allowed to attend camp until they are no longer experiencing symptoms.
Community Standards Policy
It is essential to the Camp Cosmos community that all campers, parents, and staff uphold certain standards of behaviour. While we strive to resolve all issues according to the best interests of everyone involved, our greatest priority is to maintain an environment in which everyone can feel safe and free from harassment, discrimination, and bullying. For this reason, the directors of Camp Cosmos reserve the right to temporarily or permanently remove a camper in order to maintain the safety, well-being and functioning of all campers and staff.
Reasons a child may be asked to leave camp include the following:

A camper or their parent/guardian demonstrate behaviour which causes harm to themselves or others, or has the intention/potential to do so.

A camper or their parent/guardian engages in bullying, harassment, racist, sexist, ableist or otherwise discriminatory behavior which violates Camp Cosmos’ Anti-Oppression Policy (see below)

The camper’s parent or guardian consistently arrives late or does not notify camp staff of cancellations
Whenever possible, the camp administration will meet with parents to discuss issues as they arise and to come up with alternative solutions. However, when necessary, Camp Cosmos reserves the right to remove a camper without advance notice or discussion with parents/guardians if the directors deem this to be necessary.

Anti-Oppression Mandate

At Camp Cosmos, we are committed to creating an inclusive and safe space for our diverse group of campers. Please be aware that expressions or actions that disparage an individual’s or group’s ethnicity, gender, religion, sexual orientation, age, or ability are not permitted at camp. Campers whose behaviour does not align with this mandate may be temporarily or permanently removed from camp, as per our community standards policy (see above).
